Cargill Thermal Energy Supply Chain, in the Energy, Transportation and Metals Platform, is a proprietary trader and merchandiser of power, natural gas, oil and coal commodities, utilizing both buying and selling of the physical commodities as well as trading in financial instruments related to these products. The business trades physical and financial products related to power transmission serving utility companies, retail aggregators and regional pools throughout Europe, the United States and Canada. It also trades and markets natural gas and oil in North America. For customers, the business acquires transport and storage capacity for the physical flow of natural gas and manages assets related to supply and distribution of natural gas. The business also hedges the energy exposure and manages the physical supply negotiation for Cargill production facilities located in the United States, Canada and Mexico. In coal, the business partners with Cargill Ocean Transportation and leverages its investments in mines and other sources to supply various consumers in Europe, Asia and the United States.
The Junior Administrator, located in Calgary, AB, is primarily responsible for the day-to-day administrative activities of the Calgary Natural Gas Trading business, confirming Natural Gas trade details with internal and external counterparties, providing support to various teams in the office, and ensuring timely and effective delivery of services and assigned projects. This exciting, fast-paced environment requires the ability to prioritize, work with deadlines, interact effectively with peers and trading staff, learn the natural gas trading industry, and effectively apply concepts to every day job responsibilities.
Principal Accountabilities:
40% Confirm trade details with the counterparty confirmations to ensure agreement and accuracy. Resolve any discrepancies with counterparty confirmations in a timely manner. Actively communicate with trading staff regarding trade discrepancy questions in a timely manner.
20% Maintain stationary and kitchen supplies as well as building security cards for office. Process incoming and outgoing mail and parcels for couriers and Canada Post. Manage meeting room calendars. Maintain main telephone number voicemail and greeting messages. Coordinate office protocols and support (photocopiers, fax machines etc). Reconcile petty cash and company purchasing cards. Verify admin invoices for payment, perform bank deposits, and code payables for payment as well as other sales and general admin (SG&A) tasks.
10% Greet and record all visitors in the visitors’ log. Answer incoming switchboard calls and direct to the appropriate person or department.
10% Provide administrative support to the Office Manager and other department managers. Administer programs, projects, and processes for various departments. Maintain various departmental database systems and lists.
10% Reconcile the upload process from electronic trade platform to Zainet. Coordinate trade changes as necessary and ensure effective communication to all affected parties. Complete end of day check out process to ensure daily trade activity is accurately reflected. Collaborate and communicate across departments.
10% Complete miscellaneous month-end responsibilities including month-end trade checkouts. Assist the Margin Analysis Group (MAG) with input of month-end pricing. Complete all ad-hoc month-end requests.
Skills:
Required;
Post-secondary certificate/diploma in Administration or equivalent in experience
Minimum 2 years of office administration/customer service experience
Proficiency with Windows-based computer systems with an emphasis on Microsoft Office
Demonstrated ability to pay close attention to details with a high level of accuracy
Strong customer service and problem solving skills
Ability to handle multiple tasks, priorities and push for results
Strong interpersonal and communication skills
