BUSINESS UNIT DESCRIPTION:
CIBC Private Wealth Management focuses exclusively on providing financial stewardship to Canada’s wealthiest individuals & families as well as private holding companies, trusts, estates, charitable foundations & First Nations. We have approximately 410 Employees across Canada and overall assets under management of $12.8 billion in 2010.
Specifically, the Private Wealth Management is comprised of the following lines of business:
· CIBC Investment Counsel (CPIC) - a provider of discretionary investment management expertise and tailored portfolios for private clients, holding companies, estates and trusts;
· Private Banking, Canada - a provider of banking expertise, products, and services to meet an extensive range of banking, cash management and credit needs;
· CIBC Trust, Canada - a provider of estate, trust and investment administration services that offer a full spectrum of asset management products and trustee services;
· Wealth Advisory Services - a provider of comprehensive financial planning services to CIBC’s highest-value clients, including estate planning, business transition planning, tax minimization strategies, and philanthropy.
· CIBC Financial Planning – a provider of expert financial planning counsel that specializes in wealth management solutions working in partnership with CIBC branch based advisors.
JOB PURPOSE Provide administrative and client service support to the Investment Counselor (IC) in managing their high value portfolios and maximizing their productivity. Prepare and distribute documentation and information to clients; maintain client database and ensure contacts are up to date; assist in preparing client presentations, proposals and other marketing materials; manage the account opening process; assist the IC in resolving client issues and inquiries; take initiative to resolve client issues providing exceptional client service to high net worth clients; manage new business by ensuring correct and timely investment of assets.
KEY ACCOUNTABILITIES
1. Assist Investment Counselor in maintaining and building their client base while providing exceptional client service:
· Be fully engaged with Investment Counsellor and act as a partner in the business through regular communications and collaboration
· Support IA/s in achieving business plan/s to meet goals.
· Implement Investment Policy Statements (IPS) as per IC’s instructions
· Maintain client privacy by handling all client transactions and materials according to guidelines and procedures.
· Prepare and distribute documentation and information for clients, including marketing materials, presentations and proposals.
· Manage the account opening and closing process accurately and in a timely basis
· Understand and become proficient on the X.eye system
· Accurately complete all necessary documentation, meeting all regulatory and compliance requirements and ensuring proper disclosure of terms and fees.
· Process transactions for clients (wire transactions incoming or outgoing, cheque deposit or issuance, cash transfers)
· Share best practices, information and expertise with colleagues; acts as a resource and shows an interest in overall team performance.
· Understand CIBC’s vision, values and mission and how they contribute to CIBC being the leader in client relationships.
· Proactively provide exceptional client service by demonstrating professionalism, commitment to service and following up every client interaction.
· Nurture relationships with existing clients that would promote the natural referral of associates, friends and family members.
· Support IC to identify clients whose needs would be best met by a CIBC partner or segment.
· Assist in the referral process (tracking to ensure payments have been received, ensure referral form (form #8329) is completed accurately)
2. Provide administrative support to the assigned IC in managing their high value portfolios and maximizing their productivity.
· Advise IC of client maturities
· Follow up on client and IC requests to ensure proper settlement and delivery, informing appropriate departments to take action.
· Investigate and resolve enquiries and complaints related to accounts and refer to the IC where appropriate.
· Review incoming mail and telephone calls and respond as appropriate.
· Plan and organize activities and required resources to ensure smooth running of IC office.
· Manage the calendar of the IC in a manner that maximizes availability and efficiency
· Maintain and update client contact database.
· Order periodicals, journals and other literature for IC.
· Review client portfolios monthly to ensure records are in order
· Maintain client files in adherence with audit guidelines and processes
· May be asked to support other Advisors, Counselors of lines of business as required

· High net worth individual clients
· Private Wealth Management team and managers
· Liaise with CIBC partners
· Operations and Compliance departments daily to obtain/ provide information
COMPLIANCE REQUIREMENTS/RESPONSIBILITIES·
As an employee of CIBC, the incumbent must comply with all applicable CIBC and Line of Business policies, standards, guidelines and controls.
· Complaints are logged and escalated when necessary
· Adhere to proper procedures in CIBC manuals and the Code of Conduct

Qualifications
KNOWLEDGE AND SKILLS·
Post Secondary education· Successful completion of the Canadian Securities Course OR equivalent knowledge gained through a minimum of 2 years supporting a Advisor or Relationship Manager in an Investment environment· Current knowledge of daily market activities sufficient to provide/explain information to clients

- · Strong interpersonal and verbal communication skills with the ability to use these skills to communicate effectively with high net worth clients and staff at all levels within CIBC· Very strong service orientation and professional attitude
