Duties:
- Processes all divisional invoices in compliance with Finance policies and procedures.
- Ensures divisional compliance with the College Travel, Meals and Hospitality policy; escalates issues to Manager as required.
- Ensures travel advances and expense claims are processed on a timely basis by tracking travel schedules and conducting appropriate follow up; ensures staff forward documentation to ensure financial documents are accurate and in place.
- Prepares and submits all divisional MasterCard expenses and petty cask claims as per Finance policies and procedures; maintains and updates divisional fixed asset records.
- Verifies and generates payments for over 400 active Agents and reconciles queries/disputes from Agents.
- Works with Finance staff on a daily basis to ensure up-to-date information for reporting and budgeting purposes.
- Produces reports to verify accuracy of payments to agents around the world; prepares commission statements for each payment period to email to all agents for verification.
- Ensures payments are processed accurately in liaison with Finance; requisitions cheques and wire payments to agents for three intakes per year for Post-Secondary programs and six intakes per year for ESL.
- Verifies with various internal systems (BANNER – Student Module, ISP and Spreadsheets) to ensure tuitions are paid, students are registered in the correct term and Agents represent the student they are claiming.
- Prepares Agent financial performance reports.
- Prepares, communicates and maintains the financial components of Divisional Travel, Hospitality and Marketing Plans by working with manager to ensure timely preparation, consulting with divisional managers, and monitoring and updating the plans on a quarterly basis.
- Provides administrative support with respect to facilities and office operations; supports ad-hoc project work; assists with the procurement of goods/services.
- Assists with the preparation of ongoing and ad-hoc financial reports.
- Performs other related duties as assigned.
Qualifications:
- Three year diploma or degree from a recognized post secondary institution in Business Management Administration or Accounting or equivalent.
- Minimum three years experience in:
- Managing the day to day financial activities of a large division with varied programs, including practical office experience with database and spreadsheet management at advanced levels, and basic accounting/bookkeeping experience.
- Experience in tracking and coordinating financial data and planning of activities on a high volume basis.
- Excellent oral and written English communication skills, strong report writing skills, and a demonstrated ability to communicate financial information to a non-financial audience.
- Solid interpersonal skills; ability to work collaboratively with others at all levels within a diverse organization.
- Advanced skills in the Microsoft Office suite, specifically Excel in a financial service environment.
- Excellent organizational and time management skills; high level of accuracy and attention to detail.
- Superior problem solving skills and ability to maintain confidentiality of information is essential.
- Exceptional customer service skills, able to maintain professional customer services centered attitude
- Able to learn quickly and stay abreast of changes to College policies and procedures specifically in relation to finance.
- Ability to work independently and as part of a team; ability to manage multiple tasks, work well under pressure and meet strict deadlines.
- Ability to work in an environment where diversity of people and situations are encountered.
Note: Interview process may consist of a practical skills component.
