Position Overview:          
Reporting to the Senior Property Administrator, the successful candidate will fill the permanent position of Property Administrator in Mississauga, ON. This position is responsible for the daily property management administrative functions including processing tenant file maintenance on an automated property management system, depositing rental cheques, processing tenant rental cash receipts, provide administrative support to contraction services and coding property invoices for payment.

Responsibilities:
• Deposit rental cheques to appropriate GWLRA bank accounts, code tenant cheques, photocopy cheques and record cash receipts to tenant’s accounts on CTI
• Assist property manager in rent collection; provide both verbal and written communication with tenants
• Obtain approvals of monthly billing from Property Manager
• Communicate ongoing rental billing changes to tenants
• Issue final billing and tenant charge-back invoices to tenants for miscellaneous charges
• Prepare tenant receivable reports to property manager and revenue accounting staff
• Process real estate accounts payable invoices including:
   o Following GWLRA accounting policies and procedures, code property operating expense invoices to appropriate general ledger accounts and budget amounts.
   o Administer invoice holdback where applicable
   o Match invoices to approved purchase orders
   o Obtain invoice approval from property manager
   o Photocopy and retain invoices in filing system for reference and audit
   o To meet invoice due dates, forward invoices for processing in a timely manner
   o Respond professionally to various invoice payments inquires by property management staff or external vendors
   o Under direction of the property manager, administer work and purchase order systems
• Establish good working relationships with public relations with respect to:
   o Communicate to property manager and accounting staff operational updates with respect to property issues that might affect approved plans and budgets
   o Establish and maintain good working relationships within GWLRA and external contracts such as tenants, contractors, etc.
   o Consistently provide improved service and maintain a positive and professional working attitude
• Assist the property manager in the budget preparation of operating expenses and capital expenditure working documents
• Ensure tenant service and maintenance management systems database are maintained
• Other projects and reporting as required

Requirements:
• Post secondary education in related field
• Minimum two years experience in property administration or real estate property accounting environment
• Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint) and other property management applications
• Excellent customer service skills
• Proven organizational and multi-tasking skills
• Ability to cope with changing client needs and deliver successful results within the given time frame
• Strong communication skills both written and oral
• Self motivated, professional and flexible
• Ability to work both independently and as part of a team
