Qualifications:
Strong knowledge of related Microsoft Office Suite, company databases, enterprise structure and standard operating procedures, and office communications technology etc.
Requires a high level of discretion, tact and diplomacy in dealing with senior level internal and external contacts, and highly confidential or sensitive information
Minimum of three years of directly related experience or equivalent certification
Responsibilities
Provides support to Department Leader by:
- Anticipating and initiating appropriate action to conserve the leader’s time, managing his/her schedule, managing access, screening e-mails and correspondence, etc.
- Consolidating, coordinating and variance reporting for a variety of cyclical budget documents and processes, e.g., annual and monthly budget reporting, etc.
- Coordinating corporate governance and diligence compliance files/matters on behalf of the department(s), e.g., annual Statement on Business Conduct acknowledgements, SOX audit requirements, etc.
- Coordinating company meetings, functions and/or critical administrative projects
- Assists a team or teams of professional and technical staff with their specific administrative needs by:
- Organizing and maintaining team specific documentation processes through data input, verification and filing in hard copy and electronic team and central databases, e.g., project, cost, post project review, work schedules, tracking project milestones, contract awards, etc.
- Drafting correspondence
- Provides general administrative duties, e.g., providing vacation coverage for other administrative functions in the department, booking travel arrangements, preparing expense accounts for signature, managing electronic calendars, time entry, setting up new employees and moves with new equipment, offices, phones; maintenance requests, ordering business cards, ordering lunches, etc.
- Maintaining office supplies as required
- May be required to provide basic guidance to junior administrative staff and/or temporary staff/contractors
