Conservation and Water Stewardship is seeking a qualified individual to fill the position of Assistant to the Executive Director of Corporate Policy Division, located in Winnipeg, Manitoba.
Qualifications:
The following criteria are essential to the position:
Extensive experience providing administrative/clerical and secretarial support to senior level staff.
Experience in setting up, managing and maintaining files/filing systems and document tracking systems.
Excellent written communication skills including experience preparing business correspondence.
Excellent verbal communication skills including the ability to communicate effectively with the public and other staff over the telephone and in person.
Able to work independently with strong organizational skills, including the ability to prioritize workloads, multi-task, and work on concurrent assignments with strict deadlines.
Experience working with Microsoft Word, Outlook, Excel, and PowerPoint or similar software applications.
Strong interpersonal skills including the ability to work effectively with the public and other staff, as well as within a team environment.
Strong leadership skills.
Ability and experience in handling sensitive material in a confidential and professional manner.
Strong analytical skills and decision making skills.
Experience with government administrative policies and procedures including requirements for Treasury Board Submissions, Cabinet Submissions and Orders-in-Council.
Experience supervising staff, including providing direction, effective delegation of tasks, and performance management.
The following criteria are desired:
Experience or training in SAP including timekeeping and procurement.
Duties:
- Reporting to the Executive Director, the Assistant is responsible for the management and coordination of all administrative activities for the Executive Director including the direct linkage between the Department and the Deputy Minister and Minister’s office at the Legislature.
- The incumbent must be an experienced and highly motivated individual, capable of independent action in identifying and resolving administrative problems across the various program components of the Division as well as being responsible for the screening and submission of information requests from the Deputy Minister and Minister’s offices.
- The incumbent will be required to redirect information requests to various Directors within the Department and from time to time will be required to coordinate responses within specified time constraints.
- The Assistant provides time management for the Executive Director’s office ensuring effective scheduling of meetings including the preparation of appropriate materials for the scheduled meetings of the day and is responsible for the routine office coverage on a day to day basis as well as effective management of all phone and messaging requirements.
