Executive Assistant and Office Administrator – Toronto Canada NutriAg is a world leader in Agriscience, dedicated to the research, development, manufacture, marketing and Sales of state of the art crop nutrients and spray adjuvants. NutriAg is looking for the best and brightest to join our team. It has an immediate opening for an Executive Assistant / Office Administrator. Job description: The Executive assistant/office administrator will provide senior level executive support using mature judgment and discretion to handle confidential data and work with a wide network of internal and external contacts. You will also oversee and coordinate office procedures and handle all administrative and support tasks.
KEY ACCOUNTABILITIES:
- Manage and coordinate all head office product meetings and management meetings, including scheduling;
- Manage schedules for internal and external meetings, conference calls and other events, taking into account frequent changes and other reprioritization. Ensure all changes are seamlessly integrated;
- Manage all aspects of the executives' travel arrangements and proactively assist with changes;
- Act as a representative of the President, using excellent judgment and a polished approach in dealings with internal and external clients, routinely making decisions and following up;
- Manage small projects independently;
- Coordinate/integrate complex data from numerous sources to create presentations meetings;
- Review correspondence, initiating action where possible and ensuring that the office is efficiently run;
- Provide support for occasional personal requirements;
- Act as the primary contact for all facility related issues;
- Purchase of all office material;
- Initiate and maintain relationships with various vendors (telecommunications, mail, distributors, etc);
- Prepare and distribute the NutriAg monthly newsletter;
- Maintain organization of supply rooms, conference rooms and all common areas;
- Support the Human Resources function;
- Manage and maintain storage of legal documents;
- Act as the central point of collecting and administering SR&ED data for annual SR&ED claim submissions;
- Assist with processing bi-weekly payroll electronically
REQUIREMENTS:
- Minimum 5 years prior administrative experience with 3 years experience of senior level executive administrative support;
- Highly developed sense of judgment, diplomacy and discretion to deal with sensitive and confidential business matters that have an impact on the entire corporation;
- Superior interpersonal and communication skills with the ability to establish excellent working relationships with individuals at all levels of the organization;
- Highly proficient computer skills in Microsoft Office;
- Excellent time management and organizational skills;
- Exceptional problem-solving skills and the ability to anticipate needs of executive without instruction;
- Meticulous attention to detail;
- Creativity;
- A degree/diploma
- Human Resource experience an asset;
